How the payslip is calculated
A payslip shows what an employee earned in the month, what was deducted, and what was actually paid. This generator adds up every earnings row to get gross earnings, adds up every deduction row to get total deductions, and prints net pay = gross earnings − total deductions, also written in words. It does not work out tax or contributions for you — enter the amounts from your payroll, so the payslip matches what was paid.
Example (the India template above): basic ₹30,000 + HRA ₹12,000 + special allowance ₹9,400 + conveyance ₹1,600 = gross ₹53,000. Deductions: PF ₹1,800 + professional tax ₹200 + TDS ₹2,500 = ₹4,500. Net pay is ₹48,500 — “Rupees Forty-Eight Thousand Five Hundred Only”. The US template ($5,300 gross, $1,425.45 deductions) gives $3,874.55 net, and the UK template (£3,150 gross, £677.50 deductions) gives £2,472.50.
What goes on an Indian salary slip?
Typical earnings are basic salary, house rent allowance (HRA), special allowance and other allowances, plus bonus or overtime when paid. Typical deductions are the employee’s provident fund (PF) contribution, professional tax (set by each state; some states don’t levy it) and income tax deducted at source (TDS). Under the EPF scheme the employee contribution is usually 12% of basic pay plus DA; many employers apply it to a ₹15,000 wage ceiling, which gives the ₹1,800 in the example. These rules and limits change, so confirm the figures with your payroll provider, the EPFO or your state’s professional-tax rules.
Unpaid leave and working days
Working days, days paid and loss-of-pay (LOP) days are printed for reference. If an employee had unpaid leave, reduce the earnings before entering them — for example, 2 LOP days out of 26 on a ₹30,000 basic is ₹30,000 × 24 ÷ 26 = ₹27,692.31.
Frequently asked questions
- Is a payslip made here valid as proof of income?
- A payslip is valid when it is issued by the employer and matches what was actually paid — banks and landlords often check it against bank statements or tax records. Only issue payslips for real salary payments.
- Is employee salary data saved anywhere?
- No. The payslip and PDF are created in your browser. Only the company name, address and logo can be remembered on this device if you choose; employee details and amounts are never stored.
- Can I use it for other countries?
- Yes. Pick the currency and rename the rows — for example federal and state tax, Social Security and Medicare in the US, or PAYE, National Insurance and pension in the UK. The templates only fill in labels and example amounts; replace them with your payroll figures.
- What is the difference between CTC, gross and net salary?
- CTC is the employer’s total yearly cost, including employer PF and benefits that never reach the payslip. Gross salary is what the employee earns before deductions; net (take-home) pay is what lands in the bank account.
